• Ask the local CVB to check hotels availability & rates, set-up site visits, and secure room blocks

Smart Budgeting:

• Meet everyday with your hotelier to review the master account to catch errors on-site
• Give conservative room blocks, booking too many rooms can become an unnecessary cost

Contract Do’s and Don’ts:

• Build up F&B totals with on-site meals/functions at the hotels and the hotels will be more willing to negotiate
• Specify dates and times in your contract rather than just simply stating 30 days prior

F&B Tips:

• Skip the dessert at lunch and serve it at a later afternoon break
• Compare a la carte offerings to per-person pricing

Room Set-up Savings:

• If you’re hosting a multiple day meeting keep the room set-up identical throughout

General Tips:

• Be kind to bellman, servers and front desk staffers as they can provide attendees with good experiences of their time at the meeting/convention
